Business club community management member care

Starting point

An exclusive club in Dubai connects international founders, owners and private investors with family offices as well as venture capital and private equity players. Its value comes not from the number of members but from the quality of the encounters. With six-figure memberships, every member expects to be noticed personally and connected appropriately, across countries and time zones.

How does a private business club organise its community without losing the personal touch?

During the project, a community system was built that accompanies the entire life cycle of a member: personal onboarding with a welcome wagon, maintained profiles with interests and goals, invitations and follow-up for events, suggestions for suitable contacts and ongoing partner management. Each stage hands over cleanly to the next, so that no member and no partner contact slips out of view.

Recurring tasks such as preparing appointments, event communication, following up and preparing contact suggestions are standardised with AI support. As members and partners are distributed internationally, the entire community can be run independent of location. The path from the first organic contact to admission is also connected; within a few weeks, ten enquiries per week came in, with a rising trend. ivato is co-founder and technical operator of the club.

What entrepreneurs can take from this

Exclusivity and automation are not mutually exclusive: the routine is automated so that the personal side gets more room.

A mechanism, not a promise of results: the effect depends on your starting process.

What is automated is appointment preparation, event communication, following up and the preparation of contact suggestions. The welcome, the conversations and the events stay personal and get more time because the routine has been taken off the team.
